Cooperative Housing Society

As per the Bye-Laws of Cooperative Housing Society (Bye-law no. 9(a)), a Share Certificate bearing distinctive number and indicating the name of the member, the number of shares issued and the value paid there on, shall be issued by the housing society to every Member for the shares subscribed by him, within a period of six months of the allotment of the shares.

However, there can be occasions when you need to request for a duplicate certificate from your housing society, say in case of lost or destroyed/burnt.

HOW TO REQUEST FOR A DUPLICATE SHARE CERTIFICATE FROM THE HOUSING SOCIETY?

  • Write a formal letter addressed to the secretary of your housing society requesting a duplicate shared certificate. Remember to include your name, address, contact information, flat/unit number, and the reason for the request.
  • As per the  (Bye-law no. 9(b), you need to provide necessary documents required by the society for processing the duplicate certificate request. Commonly required documents include:
    • Copy of police complaint (in case of loss/theft of the original certificate).
    • Affidavit stating the loss of the original certificate.
  • The affidavit should state that you have lost the original shared certificate and that you will be responsible for any future disputes related to the lost certificate.
  • Submit the written application and supporting documents to the housing society’s office. Make sure to keep copies of all documents for your records.
  • Pay the necessary processing fees as per the society’s bye-laws. The fees may vary from one society to another.
  • Once the duplicate shared certificate is ready, collect it from the society’s office or as instructed by the society.

As per cooperative society bye-laws no.10, every duplicate Share Certificate shall bear the seal of the Society and be signed and by the Chairman, the Secretary and one Member of the Committee, duly authorized by the Committee.
